Job Description
**This is a Monday through Friday position from 7:00 a.m. to 3:00 p.m. or similar. Occasional early/late hours may be required depending on executive or project needs. May involve after-hours coordination, or supporting events. Salary of $85k-$95k. + Sign on Bonus+ Annual Performance Bonus.

Position Summary:
The Executive Administrative Assistant provides high-level administrative support to senior executives, enabling them to focus on strategic priorities and organizational goals. This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Primary Responsibilities:

Provide high-level support to executives/leadership:
-
Manage complex calendars, scheduling, and appointments.

Prepare meeting agendas, presentations, reports, and correspondence.

Serve as a point of contact for internal and external communications on behalf of leadership.
Key Activities:
-
Organize and support internal events, meetings, and team functions (logistics, catering, communications).

Handle confidential and sensitive information with professionalism and discretion.

Provide general administrative support: mail, phone calls, calendar coordination, meeting coordination, document preparation, travel coordination, project support, etc.

Anticipate and proactively address the needs of leadership and office staff; act as a liaison among departments to ensure smooth operations.

Occasionally as needed, oversee office administration and daily operations:

Maintain office systems

Vendor coordination, office supply and inventory management, facility

Assist HR as needed.

Critical Skills:
-
Proven experience in executive support or office administration (3–5 years or more preferred).

Excellent organizational, time-management, and multitasking abilities.

Strong written and verbal communication skills.

Proficiency with standard office tools, software (e.g., MS Office Suite, calendars, document management).

Discretion and ability to handle sensitive/confidential information.

Professional demeanor, strong interpersonal skills, and ability to interact with executives, staff, vendors, and visitors.

Ability to work independently, prioritize tasks, and shift between strategic support and daily-operations responsibilities.

(Optional / desirable) Experience with travel planning, event coordination, bookkeeping, or HR/finance support tasks.

Fluency in both English and Spanish (written and verbal) is required.​​
